Frequently Asked Questions

Answers to the most common questions about using Dexin — from getting started and managing your portfolio to credits, billing, and monitoring.

General

Dexin is a trademark management platform built for Indian IP professionals. It lets you manage your trademark portfolio, track deadlines and hearings, monitor new filings for conflicts, and search the entire India trademark registry — all in one place. It's designed to eliminate the manual checking and spreadsheet management that most agents and attorneys currently rely on.

Trademark agents, attorneys, law firms, and corporate IP departments who manage India trademark portfolios. Dexin is built specifically for professionals who handle multiple client trademarks and need to stay on top of deadlines, status changes, new filings, and hearings simultaneously across a large portfolio.

Yes. Your portfolio data is private to your account and the portfolios you create. Dexin reads from the public India trademark registry but does not expose your internal portfolio, client list, or team data to other Dexin users. Each portfolio's access is controlled by the role permissions you assign to team members.

Portfolio & Trademarks

Search for the trademark using the Latest Trademarks search or by application number, then open its record page and click "Add to Portfolio". Select which portfolio to add it to if you manage multiple. The trademark appears in your portfolio immediately, and Dexin will keep it synced from that point on. You can also bulk import trademarks using a CSV file of application numbers.

Your portfolio is synced daily, overnight. Status changes, new documents, and field updates are detected each morning and surfaced in the Updates page. New deadlines triggered by overnight document detections are also created automatically during the sync. The sync typically completes before 8 AM IST.

Yes. You can create separate portfolios for each client and switch between them from the top navbar at any time. Each portfolio has its own independent set of deadlines, hearings, updates, and team members — so everything stays cleanly separated per client.

Yes. Export your full portfolio (or any filtered view) to PDF or Excel directly from the Portfolio page. The export includes all trademark fields including status, class, agent, attorney, proprietor, and key dates.

Search & AI

TM Suggestor is an AI-powered trademark name generator. You enter a keyword or brand concept, choose a NICE class, and the AI generates 40+ creative, brandable name variations. Each suggestion is automatically checked against the full India trademark database — 7 million+ records — and given a colour-coded availability rating (Green, Yellow, or Red). See the TM Suggestor guide for full details.

5 credits per generation for logged-in users. Public visitors (no account) get 2 free generations per browser session with no credits required.

Green — No exact or phonetically similar marks found in this NICE class. The name is likely available to file.

Yellow — Similar-sounding or partially matching marks exist in this class. Proceed with caution — a full search is strongly recommended before filing.

Red — An exact or near-exact match exists in this class. This name is very likely unavailable in this class.

No. TM Suggestor is a starting point for research only. Risk badges are based on automated text and phonetic matching — they do not constitute legal advice and do not replace a thorough official search on the IP India website. Always conduct a full search before filing. Dexin is not liable for decisions made based on these AI-generated suggestions.

The full India trademark database — 7 million+ records across all classes and statuses. It is not limited to your portfolio. You can search by name, application number, class, status, agent, attorney, proprietor, goods and services, and address. It is the same database the official India registry uses.

Deadlines

Most deadlines are created automatically when Dexin detects the relevant documents in the India trademark registry during the overnight sync. For example, when an examination report is detected, Dexin automatically creates an Examination Report Response deadline due 30 days later. You do not need to set up deadlines manually for these standard proceedings — Dexin handles it. See the Deadlines guide for the full list of auto-created deadline types.

Examination Report Response, Formalities Check Fail Response, and Renewal Due deadlines are automatically marked Complete when Dexin detects your reply or renewal document in the registry records. The Opposition Period deadline is never auto-closed — you must manually mark it Complete once the 120-day window passes without a challenge being filed.

Yes. Go to the Deadlines page and use the "Add Custom Deadline" option. You can set any name, due date, and assign it to a specific team member. Custom deadlines are never auto-closed — you manage them entirely.

Deadlines can be missing if the relevant document in the registry record has no date information, or if the document type could not be recognised during the sync. You can always add a Custom Deadline manually in this case. If you believe a deadline is incorrectly missing for a document that has clear date information, contact Dexin support.

Dex-Watch & Monitoring

Dex-Watch is Dexin's proactive monitoring suite with four tools: Weekly Journal Watch (scans newly published journal marks for similarity to your portfolio), Daily Filing Watch (same but for daily new filings), Word Watch (monitors new filings for custom keywords you define), and Proprietor Watch (tracks new filings by specific proprietors you choose to follow). All four tools run automatically once configured. See the Dex-Watch guide for full details.

Word Watch monitors new trademark filings by the trademark name — it alerts you when a new application contains your keyword. Proprietor Watch monitors new filings by the trademark owner's name — it alerts you when a specific company or person files any new trademark application, regardless of the name of the mark.

All Dex-Watch scans run on an automatic schedule. Journal Watch updates when a new India trademark journal is published (typically weekly). Daily Filing Watch and Word/Proprietor Watches scan each day's new filings. No manual action is needed — set up your watches once and results appear automatically.

Billing & Credits

Credits are Dexin's usage currency. They are consumed when you: view search results from Agent, Attorney, or Proprietor searches (1 credit per result), download official documents (1 credit each), or use TM Suggestor (5 credits per generation). Basic portfolio management, deadline tracking, hearings, and updates do not consume credits.

Credits reset monthly on your billing anniversary date. Unused credits do not carry over to the next month.

Credit-gated features (Agent/Attorney/Proprietor search results, document downloads, and TM Suggestor) will be blocked until your credits reset or you upgrade your plan. All other features — portfolio management, deadlines, hearings, updates, and standard searches — remain available regardless of credit balance.
